How to Setup Notification Channels in Zoho Calendar
What are notification channels in Zoho Calendar?
When we talk about “notification channels” in Zoho Calendar, we mean how and where you receive alerts about calendar events you create or are invited to. Typical channels include:
- Email notifications / reminder emails
- Pop‑up / in‑app notifications (within Zoho Calendar / Zoho web app)
- Desktop / browser notifications
- Agenda summary emails (daily or weekly digest of your upcoming schedule)
- Notification bell / internal notification center (within Zoho’s own UI)
Zoho lets you configure which ones you use, when reminders fire, and what defaults apply at the calendar vs. event level. Understanding how these interact (e.g. event‑level overrides calendar defaults) is key to setting up a reliable notification system.
Why configure notification channels smartly?
Before diving into the how, here are a few reasons why you should take time to plan your notification setup:
- Avoid over-notification. You don’t want dozens of reminder emails or pop-ups for every minor event.
- Ensure you don’t miss important reminders. Some channels may fail (e.g. if your browser blocks pop-ups or desktop notifications).
- Maintain consistency. If your team shares calendars, having a standard approach reduces confusion.
- Handle cross‑device use. You might use Zoho Calendar via web, mobile, or desktop; your notification choices should align with your workflow.
- Work within Zoho’s limits / quirks. For instance, Zoho allows a maximum of 4 reminders per event.
Where you configure notifications: at calendar vs. event level
Zoho offers two tiers of notification configuration:
- Calendar-level reminders – default reminders applied to all events in a given calendar (unless overridden).Â
- Event-level reminders – reminders set for a specific event (overrides calendar-level defaults).
Calendar-level reminders
This is where you set default reminder behavior for a particular calendar (e.g. “My Work” calendar, or “Team Shared” calendar).
Steps to configure:
- Log into Zoho Calendar.
- In the left panel (your list of calendars under My Calendars or similar), find the calendar you want to configure.
- Click on the “More options” (three dots) or right click, and choose Edit (or Settings / Calendar settings).
- In that calendar’s settings, look for the Reminder Notifications or Add / Edit Reminders section.Â
- Click Add Reminder (or Add / Edit) and choose:
- You can add up to 4 reminders per event (or per calendar default) in Zoho.
- Save your settings.
After you do this, whenever you create a new event in that calendar (unless overridden), Zoho will automatically schedule reminders according to that default.
Notes:
- If you import events from another calendar (e.g. via iCal), those events might carry their own reminders. Zoho will prompt you whether to replace those event-specific reminders with the calendar-default ones.
- The calendar-level reminders apply only to that calendar (not to other calendars you own).
- If a given event has explicit reminders, those will override the calendar-level defaults. (More below.)
Event-level reminders
If a particular event is special (for example, especially critical), you can set custom reminders just for that event, overriding the calendar defaults.
Steps to configure:
- Create a new event (or open an existing one and click Edit).Â
- Look for a “Reminders” or “Remind me” or “Add Reminder” section in the event creation dialog.
- Click Add Reminder.
- Choose:
- Type (Email, Pop‑up, Notification)
- Timing relative to event (before / after)
- The delay (e.g. 15 mins, 30 mins, 1 day)
- You can add multiple reminders (up to 4) if needed.
- Save or Update the event.
Because event-level reminders override calendar defaults, you could have, for instance, general events with a 10‑minute pop‑up, but for a key meeting you also add an email reminder the day before.
Important:
- If you are not logged in to Zoho when a pop-up reminder is triggered, Zoho will fallback to sending you a reminder email, if one is configured.Â
- For all-day events, the reminder will be sent based on your work hours in the calendar settings, not arbitrarily.Â
Other notification features you should know
Beyond the basic reminders, Zoho offers several additional notification features. Here’s how to set them up, and how they relate to notification channels more broadly.
Email notification settings (address, format)
By default, Zoho sends all reminder emails, event invitations, updates, etc., to your primary email address. But you can change this:
- Go to Settings → Calendar → Notifications (or sometimes Email Notifications).Â
- Next to the current email address, click the Change your email address icon.Â
- Enter the alternate email where you want to receive notifications, and click Confirm.Â
- Zoho will send a verification email to the new address. You must click the link in that email to confirm.Â
- You can also select whether reminder emails are sent in HTML format or Plain Text.Â
Things to note:
- The organizational administrator may restrict whether users are allowed to change this email. (In other words, some Zoho setups disallow arbitrary email addresses.)
- Event invitation emails are sent from your user email, but reminder emails often come from noreply@zohocalendar.com (so recipients may not reply to them).
Agenda notifications (daily / weekly digest)
If you prefer a summary of your schedule (rather than constant reminders), Zoho supports agenda emails:
- Go to Settings → Calendar → Notifications.Â
- Turn on the toggle for Send agenda notification email.Â
- Choose the frequency: Daily or Weekly.
- Optionally, adjust which email address receives them (same change‑email procedure).Â
- Save your settings.
These agenda emails are typically sent one hour before your work time starts, and include events marked “free/busy.” Agenda notifications apply only to calendars under “My Calendars” (not shared calendars).
Desktop / browser notifications
If your browser supports system notifications (Chrome, Firefox, Edge, etc.), Zoho can push alert pop-ups to your desktop (outside the browser tab), even if the browser is in the background.
To enable:
- Go to Settings → System (or Notifications) → Desktop notifications.Â
- Check the box Allow desktop notification.Â
- If previously blocked by your browser, you may need to go into your browser’s site settings and explicitly allow notifications for calendar.zoho.com.Â
Once active, alerts (e.g. upcoming reminders, new invitations) will show even if you’re working in another tab or app.
Internal notification center / bell icon
Zoho includes an internal notification center (often in the top bar, a bell icon) where you will see updates for event invitations, modifications, calendar shares, etc. From there, you can respond to invites, view changes, etc. This is essentially an in‑app channel; it complements (but does not always replace) email or pop-up reminders.
How the channels interplay & priority rules
To correctly configure, it’s important to understand how Zoho prioritizes which channel(s) get used:
- Event-level reminders override calendar defaults. If you set a reminder on a specific event, that configuration takes precedence over the calendar’s default reminders.Â
- Zoho may send fallback emails if a pop-up reminder is supposed to fire but you’re not logged in.Â
- The internal notification center / bell will cover most event/invite changes, but doesn’t automatically replace reminder emails or pop-ups.
- Agenda digests are sent separately and do not cancel or suppress individual reminders.
- Desktop notifications rely on browser/system settings; if blocked, they will not appear (so always verify browser permissions).
- For all-day events, reminders are sent according to work hours settings, so timing must align with your configured work day.Â

Here is a step-by-step walkthrough you can follow to set your notification channels in Zoho Calendar:
- Log in to Zoho Calendar (via web).
- Access Settings: Click the gear icon or go to Settings.
- Navigate to Calendar / Notifications: Under Settings, find Calendar (or My Preferences / Calendar Settings), then Notifications.
- Configure Reminder Notifications:
a. Toggle Enable notifications for all reminder types to ON (if present).
b. In the Reminders section, add default reminders (Email, Pop-up, Notification) with desired lead times. - Configure Email Notification Address & Format:
a. If you want reminders sent to a non-default email, click Change your email address and enter the new one.
b. Choose HTML or plain text format for emails. - Enable Agenda Notifications:

- Make sure pop-up blockers or extensions aren’t suppressing Zoho’s pop-up reminders.
Using Zoho’s Notification API (for advanced use)
If you’re using Zoho in a more automated or programmatic environment, Zoho provides a Notification API for Calendar. With it, you can:
- Fetch a user’s current notification settings (GET on /notification)
- Update notification preferences programmatically (PUT on /notification)
- Use the API to set properties such as email format, agenda settings, etc.
This is useful if your organization automates calendar setups or wants a standard configuration pushed to many users.
Common limitations & troubleshooting
Even with everything configured, you may hit issues. Here are common pitfalls and workarounds:
- Browser blocked notifications
If desktop notifications don’t show, it’s often your browser settings. Make sure calendar.zoho.com is allowed in site notifications. - Not logged in → pop-up fallback to email
If Zoho can’t deliver a pop-up (because you’re logged out or on mobile), it may fall back to sending an email if configured. - Maximum 4 reminders per event
Zoho limits the number of reminders per event to four. If you’ve used all slots, you can’t add more without deleting one. - Conflict between event- and calendar-level reminders
Be careful about overlapping reminders or contradictory settings. The event-level setting always overrides the calendar default for that event. - Agenda emails not including shared calendars
Agenda digests only include events from calendars under “My Calendars,” not shared or subscribed ones. - Restrictions by organization admin
In some organizational settings, admins may disable users from modifying notification email address or other settings. - Invitations not delivered to external (non‑Zoho) accounts
Some users report calendar invites not reaching Gmail or other external email addresses. This sometimes is due to SPF/DKIM configuration or bounce filtering. (Not strictly a “notification channel” issue, but relevant to event delivery.) - “noreply@zohocalendar.com” sender on reminder emails
Reminder emails often appear from a generic noreply address, which can confuse recipients.Â
If you hit trouble (no reminders, duplicates, missing agenda), I recommend checking:
- Is your reminder toggle enabled globally?
- Does the event you’re testing have its own explicit reminder?
- Is your browser blocking notifications?
- Did you verify your alternate email (if using one)?
- Are there any admin-level restrictions?
